What happens
to your stuff.
This is a plain-English explanation of exactly what happens to your data when you use Remo. For the formal legal version, read the full Privacy Policy.
What happens to the audio
from my sessions?
Audio is a buffer, never an archive. Here's the exact sequence of events when you record a session:
- You press record. Your device's microphone captures the audio locally.
- Each short chunk is saved on your device first, so a dropped connection can't destroy part of your session.
- The chunk is uploaded to Remo's storage, and the copy on your device is deleted once we have it.
- The chunk is sent to OpenAI's Whisper transcription service, which converts it to text and doesn't keep it.
- The text is saved and the audio chunk is deleted, usually within seconds. A background job runs every minute to catch anything that lingers.
- At the end of your session, Remo stitches together the text segments into a complete transcript. No audio stitching, only text.
The bottom line
Raw audio exists only long enough to be turned into text, on your device and on our servers alike, and never after. Only the text transcript is saved. If you delete a session, the transcript goes with it.
The one exception is audio that can't upload, usually patchy signal or a tab that closed mid-session. That stays on the device you recorded on until it uploads, for up to seven days. Clearing your browser's site data for remopilates.com removes it straight away.
Who can see my transcripts and session summaries?
Session data is stored with row-level security, meaning the database is set up so that your records are only accessible to your account. No other Remo user can see your sessions.
Three things beyond your own account can reach this data:
- The Remo team, to debug issues, support users, and keep the system running.
- PostHog, our analytics provider, which records screen replays of the app so we can see what happened when something breaks. Text is masked, so client names, session notes, and anything you type are obscured in the recording. Client intake forms, body maps, and sub briefs are blocked from these recordings entirely. What's left is the layout of the page and the sequence of actions. Recordings are kept in the United States and are linked to your account and email address.
- Anyone you deliberately share with. Sub Brief creates a link you can send to a covering instructor, showing a snapshot of one client's key information. Session summaries and goal analyses can be emailed to anyone you choose, including the client. Anyone holding one of those links or emails can read what it contains, so treat them the way you'd treat any note about a client. Sub Brief links expire, and you can revoke one at any time.
On client confidentiality
Your clients' names, physical details, and session content live in your transcripts. You are responsible for obtaining your clients' consent to record. Remo doesn't manage that on your behalf. Read more in the Privacy Policy.
Does Remo use my data to train AI?
No. And we won't without asking you first.
Remo sends your transcripts to Anthropic's Claude API to generate session summaries and progress maps. Under the API agreement, Anthropic does not use API-submitted content to train its models.
We're constantly improving the prompts and logic that shape how Remo analyzes your sessions. That work is done by our team, and it means reading real transcripts: when a summary comes out wrong, the only way to fix it is to test a change against the session that produced it. We do that one session at a time, never in bulk, and your data doesn't go anywhere beyond the providers listed below.
Will my data be used to help other users?
No. If Remo ever suggests exercises or programming ideas, those suggestions come from your own session history and publicly available sources, not from other instructors' client data.
How long is my data kept?
Here's a simple breakdown:
| Situation | What happens |
|---|---|
| Active account | Your transcripts and summaries are kept indefinitely. Historical data is the whole point. You need it to track client progress over time. |
| You delete a session | The transcript and summary are permanently deleted from our database. This cannot be undone. |
| You delete your account | Everything is removed immediately once we process the request, and can't be recovered. We aim to process requests within 30 days. Ask us for a copy first if you want one. |
| Audio that couldn't upload | Stays on the device you recorded on until it uploads, for up to seven days. Clearing your browser's site data removes it straight away. Signing out doesn't. |
| Beta or long-inactive account | We may delete accounts that have been inactive a long time, or beta accounts that never converted. We'll email you at least 30 days first. We don't run these on a fixed schedule, so in practice your data is kept until you ask us to delete it or we notify you. |
Who else touches my data?
Running a software product means using other services. Here's everyone who handles your data and why:
- Supabase — stores your account info and transcripts. Think of it as the secure filing cabinet.
- Anthropic (Claude) — analyzes your transcripts to generate session summaries and progress maps.
- OpenAI (Whisper) — transcribes session audio to text. Audio is not retained by OpenAI under our agreement.
- AssemblyAI — transcribes the longer recordings uploaded to our archetype tool. Audio is not retained by them under our agreement.
- Vercel — hosts the Remo app.
- PostHog — product analytics and screen replays, so we can see what happened when something breaks. See section 02.
- Resend — sends transactional emails (account confirmations, password resets).
- Stripe — handles payments. Your card details go straight to Stripe; we never see them.
- Kit — sends our marketing email. Gets your email address and labels for your plan status and any quiz results.
- Google — provides the mailbox behind hello@remopilates.com.
We don't sell your data. We don't share it with advertisers.
What can I ask you to do with my data?
Anything reasonable. Email hello@remopilates.com and you can:
- Get a copy of your data
- Correct something that's wrong
- Delete your account and everything in it
- Ask questions about how your data is handled
We'll respond within 30 days.
